This privacy statement describes how we handle your personal data. We do everything we can to guarantee your privacy and therefore handle personal data with care.

About us
Renessence is known as a well-being studio. A space to silence the mind, strengthen the spirit & heal the body. At Renessence, we gather practices, group classes, experiences and inspirational all under one roof to develop your physical and mental strength through various styles of yoga, breath work and mediation. To be able to provide our services , we process personal data. In this privacy statement, you can read what personal data is and how we process it. Naturally, we comply with the regulations on data processing and privacy applicable in The Netherlands. For more information about these regulations, please also refer to the website of the Dutch Data Protection Authority.Renessence, registered office at George Gershwinlaan 520, 1082 MT Amsterdam, is responsible for the processing of the personal data from members, customers, suppliers and for example prospect’s.
What is personal data?
Personal data refers to information about an identified or identifiable natural person. It concerns data through which you can be recognized. For example, your name, (email) address, phone number, date of birth, photo, and/or bank account number. Below, we will explain which personal data we process and why.
Processing of personal data of members, customers or suppliers
Here are the details we request from you, receive, or that you can choose to provide if you wish:
  • First and last name, email address, home address, gender, and phone number: we use this information for the execution of the contract (for example, the membership) and related communications, for administrative purposes, such as the ability to book group classes and/or request a day pass, and for contact moments with Renessence, including through social media channels or other means.
  • Date of birth: your date of birth is processed to determine if you are of legal age (18+) and therefore eligible to access Renessence and enter into a membership on your own, or if you are still a minor and therefore require parental/guardian consent to access Renessence.
  • Bank account number (IBAN): when a payment is made via the website, we automatically receive your payment details. We also process your IBAN number for the purpose of automatic (monthly) direct debit.
  • Preferences via e-mail or SMS: you can indicate whether you are interested in receiving the latest offers/events/news-related emails.
Processing of personal data of prospects and/or interested parties
Here are the details we request from you, receive, or that you can choose to provide if you wish:
  • First and last name, email address, and phone number: we process this data to keep individuals interested in Renessence informed about relevant offers and updates. This includes providing information through newsletters and/or targeted communications.
The processing of your data is based on your consent or a legitimate interest. Your consent is obtained when you choose to receive information, newsletters, or promotional materials. Additionally, Renessence has a legitimate (commercial) interest in responding to information requests. For example, this applies when a prospect fills out the contact form on our website or submits a digital inquiry through social media platforms such as LinkedIn, Facebook, or Instagram.For more information, please refer to the section “Newsletter” below.
Legal basis for data processing
Renessence relies on legitimate legal grounds for processing your personal data. One of these grounds is the necessity of using your data to enter into and perform a contract with you. This applies to the establishment of a membership (and its associated options, such as booking classes) and to the registration and renewal of that membership.Additionally, we may process your personal data if we have a legitimate interest in doing so. For example, we analyze your data to improve our services. We also have a legitimate interest to inform you if you want more information about Renessence.The final basis on which we may rely is consent. You give your consent for the use of cookies. With these cookies we can show or send you information, offers and advertisements that suit you. You read what cookies are and how we handle cookies in our cookie policy. Here you can adjust your cookie settings. When you give your consent, we will send emails and/or SMS messages to personalize the newsletters and to send you the (membership) offers. We only process personal data of minors ( persons under the age of 16 ) if written permission has been given by the parent, caregiver or legal representative. We do not process sensitive or special categories of personal data in this context. Moreover, you have the right to object to this data processing for marketing purposes based on our legitimate interest at any time.
Newsletter
A lot of interesting information and offers can be found in our newsletter. We send this newsletter via email or SMS. Based on your visits and profile, we try to tailor the content as much as possible to your interests and also inspire you for your next visit. For sending the newsletter, we use your first and last name, and email address. We only send this newsletter if you have given your consent. If you no longer wish to receive the Renessence newsletter, you can unsubscribe free of charge via the link at the bottom of the newsletter, the "opt-out".
Retention period
In general, we will not retain your data longer than necessary. Specifically, we retain your data as long as you remain a member or are subscribed to our newsletter. If your membership ends and is not renewed, or if you unsubscribe from the newsletter, your data will be automatically deleted within two years. However, some data must be kept longer if required by law. For example, tax regulations require us to keep certain financial information for 7 years.
Provision to third parties
We will not share your personal data with third parties without your explicit consent, except where required by law. However, there are a few exceptions.Several parties are involved in Renessence's operations as data processors. These "processors" handle specific aspects of our service and assist in fulfilling our commitments to you. We have (when needed) established data processing agreements with these processors, which clearly outline the types of personal data they may process and the specific purposes for which they are authorized to do so. For individuals whose personal data is processed ("data subjects"), Renessence remains the primary point of contact regarding any inquiries or concerns about data processing activities.These processing activities include, for example, services that enable the booking of group classes, management of financial administration, compliance with GDPR standards for our online environment, and the facilitation of newsletters and event invitations.In certain cases, you may have granted us permission to share your browsing behavior and preferences with third parties. With this consent, we may provide you with relevant information or offers when you visit a third-party website. In such instances, we only share your IP address and no other personal data.We do not provide personal data to parties located outside the EU.
Camera surveillance
Renessence uses camera surveillance. Camera surveillance (where needed live) is used for the purposes of:
  • Access control of clubs of Renessence;
  • surveillance and security of goods and persons present in Renessence clubs;
  • prevention and recording of nuisances, such as vandalism and violence towards individuals.
No personal data is processed other than:
  • camera images of the buildings and grounds and the persons and property located therein and thereon, over which Renessence’s care extends;
  • data relating to the time, date and place that the camera images were taken.
No hidden cameras are used.Renessence is transparent about the use of cameras. Where cameras are used, this is made known, for example through stickers, signs, etc.There are no cameras in the locker rooms and restrooms.Implementation of camera surveillance:
  • Camera surveillance is implemented in practice by the control room and staff at the location of the relevant Renessence branch. Occasionally, a third party is engaged to capture or monitor camera images, for example, by external control rooms when monitoring clubs that are temporarily unmanned. Urban Gym Group and the Renessence control room remain ultimately responsible for the implementation of camera surveillance at all times.
  • Camera images will be retained for a maximum of 30 days, unless longer when necessary to deal with an identified incident.
  • The control room has taken adequate measures to protect against unauthorized access or misuse of stored camera images.
  • Those authorized to review images are explicitly bound to confidentiality. Access to the images is password protected.
Inspection, copies, deletion or blocking of camera images.
  • A detailed request by a data subject for inspection and copies of camera images including the day, time period and location concerned can be submitted to Urban Gym Group (via privacy@urbangymgroup.com)
  • A request by a data subject to remove or block the camera images can be requested if the camera images are incomplete or irrelevant for the purpose of processing or are otherwise processed in violation of a legal requirement.
  • The request may be refused if inspection would harm the privacy interests of other persons.
  • Release of camera images: recorded camera footage will only be provided to an authorized government body when a lawful (in principle written) order has been received from the relevant government body to do so, or when another legal regulation requires Renessence to do so.
No inspection is provided to private parties, except when those parties are shown in the camera footage.
Security
To minimize the risk of misuse and unauthorized access to your personal data, we implement appropriate security measures. We ensure that all individuals who may access your data on behalf of Renessence are bound by confidentiality obligations. Additionally, we enforce a strict username and password policy across our systems, pseudonymize and encrypt data as necessary, and maintain regular backups to safeguard against physical or technical incidents. Our staff members are thoroughly trained on the importance of data protection.Furthermore, we regularly test and evaluate our systems to ensure their security and effectiveness.
Rights regarding your personal data
As a data subject you have the following rights:
  • The right to request information regarding the processing of your personal data;
  • The right to data portability, allowing you to request the transfer of your personal data to another party;
  • The right to rectification, enabling you to request corrections or updates to your personal data;
  • The right to withdraw consent at any time if the processing is based on your consent;
  • The right to erasure, allowing you to request deletion of your data if it is no longer needed for its original purpose or if you withdraw your consent, though this right may not apply in all cases due to potential exceptions; and
  • The right to request restrictions on the processing of your personal data under certain circumstances.

If you have a complaint about the processing of your personal data, we ask you to contact us directly via privacy@urbangymgroup.com.If we cannot figure it out with you, you always have the right to lodge a complaint with the Dutch Data Protection Authority, which is the supervisory authority in the field of privacy protection.
