Provision to third parties
We can provide the data you provide to us to third parties if this is necessary for the execution of the purposes described above.For example, we use a third party for:

  • Providing newsletters and invitations.
We never pass on personal data to other parties with whom we have not concluded a processing agreement. With these parties ( processors ) we naturally make the necessary agreements to guarantee the security of your personal data. Furthermore, we will not provide the data you provide to other parties, unless this is required and permitted by law. An example of this is that the police request ( person ) data from us in the context of an investigation. In such a case we must cooperate and are therefore obliged to provide this information. We can also share personal data with third parties if you give us written permission for this.
Camera surveillance
Renessence uses camera surveillance for:
  • Access control of facilities;
  • Surveillance and security of goods and persons present in Renessence;
  • Prevention and registration of nuisance, such as vandalism and violence against persons.
No personal data is processed other than:
  • camera images of the buildings and grounds and the persons and things contained therein and thereon, over which Renessence's care extends;
  • data related to the time, date and place where the camera images were taken.
  • Hidden cameras are not used.
  • Renessence is transparent about the use of cameras. Where cameras are used, this is made known, for example by means of stickers, signs, etc.
  • There are no cameras in the locker rooms and toilets of Renessence.
Camera surveillance:
  • The camera surveillance policy is implemented in practice by the emergency room and the employees at the location of the relevant Renessence location. Occasionally, a third party is engaged to capture or monitor camera images, for example by external emergency rooms when monitoring clubs that are temporarily unmanned. The Renessence emergency room remains ultimately responsible for the execution of the camera surveillance at all times.
  • Camera images are kept for a maximum of 28 days, unless necessary longer to handle an detected incident.
  • The emergency room has taken adequate measures to protect unauthorized access or misuse of stored camera images.
  • The persons who are allowed to look back images are explicitly bound by secrecy. Access to the images is password protected.
Inspection, copies, deletion or shielding of camera images.
  • A specified request from the data subject for access and copies of camera images containing the relevant day, time period and location can be submitted to customer service
  • A request from the data subject to remove or shield the camera images can be requested if the camera images are incomplete or irrelevant for the purpose of the processing or otherwise contrary processed with a legal requirement.
  • The request can be refused if the inspection harms the privacy interests of other persons.
  • Delivery of camera images
  • Recorded camera images are only provided to a competent governmental body when a legal ( has in principle been received in writing ) order from the relevant government body, or when another legislation requires Renessence to do so.
  • No inspection is provided to private parties, except when they are in the picture themselves ( see point F. ‘ Inspection and copies ).
Within the EU
We do not provide personal data to parties located outside the EU.
Minors
We only process personal data of minors ( persons under the age of 16 ) if written permission has been given by the parent, caregiver or legal representative.
Retention period
Renessence does not store personal data longer than necessary for the purpose for which it was provided or required by law.
Security
We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing, for example we have taken the following measures;
  • All persons who on behalf of Renessence can access your data, are bound by its confidentiality.
  • We have a username and password policy on all our systems;
  • We pseudonymise and ensure the encryption of personal data if there is reason to do so;
  • We make backups of the personal data in order to be able to restore it in the event of physical or technical incidents;
  • We regularly test and evaluate our measures;
  • Our employees have been informed about the importance of protecting personal data.
